Stop sending one blast a month to ten thousand people
Segmenting a dealership database by equity, service history and last contact — with the queries to pull each list.
Ten thousand contacts, one email a month, everybody gets the same one. The open rate drifts down every month, nobody can explain why, and eventually the email programme gets cancelled and everyone agrees that email does not work for dealerships.
Email works fine. Sending one message to ten thousand unrelated people does not.
Why the blast decays
Somebody who bought from you last month, somebody whose lease matures in sixty days, and somebody who stopped servicing with you in 2021 have nothing in common except a row in the same table. The only message that fits all three is a message so general it is worth nobody’s time.
And every irrelevant email teaches the recipient to skip the next one. You are not just wasting a send — you are spending down the only asset the list has.
Every irrelevant email is a small withdrawal from the only thing that makes a database valuable.
Four segments that cover most of it
- Equity and term position — bought thirty to forty-two months ago, still paying, on a vehicle holding value. The message is a payment comparison.
- Lease maturity — sixty to a hundred and twenty days out. The message is a deadline and two options.
- Service-active, sales-inactive — in the drive this year, but bought elsewhere or bought a long time ago. The message is that you would like the next one too.
- Lapsed service — no visit in fourteen months. The message is a reason to come back, and it needs to be a real one rather than a discount on something they do not need.
Four lists. Every DMS can produce all four, and if yours genuinely cannot, that is worth finding out now rather than during your next renewal.
What to pull
For each contact: last purchase date, vehicle and mileage, financing type and rough term position, last service date, last service amount, last contact date on any channel. That is the whole schema. Everything else is decoration.
Pull it monthly rather than once. A segment is a photograph of something moving, and a six-month-old list is worse than useless because it is confidently wrong — you will email a lease-maturity offer to somebody who already bought.
Suppression is half the job
Before anything sends, remove:
- Anybody who bought in the last ninety days, unless the message is about service.
- Anybody with an open complaint or a bad recent repair order.
- Anybody a salesperson is actively working. Nothing undermines a rep faster than the store emailing their customer a better offer than the one on the desk.
- Anybody who has not opened anything in twelve months. They are not reading it, and they are pulling your deliverability down for everyone who is.
That last one feels like throwing away reach, and it is not. A smaller list that reaches inboxes beats a larger one that reaches spam folders, and the difference compounds every month you leave it alone.
Cadence
Each segment gets its own rhythm rather than sharing a calendar. Lease maturity is time-driven and needs three touches inside ninety days. Lapsed service can run quarterly. Equity is monthly, because the list itself changes monthly.
The store-wide newsletter, if you keep one at all, should be the smallest thing you send rather than the only thing.
